This is an Office Hybrid role, with some travel to our Louisville and Bardstown locations.
What the Role Is
The Corporate Events Coordinator assists in managing, developing and executing plans for corporate sponsorships, corporate meetings and retreats, national trade events, and other internal or external events as needed, keeping within specific budget parameters as well administrative duties surrounding event coordination.
How You Will Spend Your Time?
- Work cross functionally with key event stakeholders to plan scope and format of corporate events while monitoring event timelines, keeping activities within budget and preparing post-event reconciliation to measure success of such efforts.
- Responsible for managing event details including site inspections, hotel management, AV services, catering, reviewing banquet orders, securing talent, transportation, procurement and shipping of assets and other special needs, negotiating, and managing against stated budgets.
- Monitor event participation to ensure compliance with applicable state regulations and laws, satisfaction of participants, and resolution of any problems that arise.
- Manage event administrative duties including inventory of materials, preparing collateral, and overseeing shipping ensuring efficiencies and cost effectiveness.
- Responsible for managing Corporate-derived sponsorships, ensuring all company benefits are realized and achieved.
- Develop key vendor relationships to further partnerships and agreements.
- Manage day-to-day needs for local sports property sponsorships.
- Assist in the execution and planning of annual large-scale corporate meetings such as National Sales Meeting and management of Distributor Sales Summits for key distributor partners.
- Some travel required.
Who You Are…
- High School Diploma or equivalent required; Bachelor’s Degree in Marketing, Business or related field or equivalent years of relevant work experience preferred
- Minimum 1 year of event planning experience
- Negotiation skills as it pertains to vendor contracts, etc.
- Ability to translate brand/company objectives into event execution
- Strong problem-solving skills
- Strong project management and time management skills to manage planning of multiple projects over the same timeframe, sometimes on tight deadlines
- Ability to think creatively, developing, designing, and creating new themes, event ideas, and possibilities
- Critical thinking skills, using logic and reasoning to trouble shoot problems under pressure
- Working with others to understand objectives and help deliver results
- Ability to represent the company and communicate with people internally and externally with high professionalism
- Proficiency using office equipment and with all Microsoft Office programs
- Strong organization and attention to detail
- Ability to work a flexible schedule with a willingness to work evenings and weekends
Valued but not Required Skills and Experience:
- Experience in a distilled spirits industry at supplier or distributor level
Physical Requirements
While performing duties of job, employee is often required to stand; walk; use hands and fingers to handle and move boxes from storage facilities, in and out of vehicles and events, use of computer. Employee must occasionally lift and/or move up to 50 pounds.
